Accounting Assistant

Role

Playing an important part of the mcCallumSather team, the Accounting Assistant is a team player and is responsible for day to day accounting for receivables, payables and project tracking as directed by the CFO. The accounting assistant will also provide billing and project tracking support to the project leads as required.

This Position Reports to Heather Gordon, CFO  mcCallumSather.

Responsibilities

Accounts Receivable

  • Set-up invoice template at time project is opened
  • Work with project leads and CFO to prepare monthly invoices.
  • Send invoices to clients and record invoices in accounting system
  • Follow up on receivables over 60 days old
  • Prepare and send quarterly expense invoices
  • Set up a system to ensure all projects get fully billed

Accounts Payable

  • Print, code and distribute supplier invoices for approval
  • Set up a system for tracking invoices out for approval
  • Record supplier invoices and expense reports in accounting system and file
  • Print and record printing reports quarterly
  • Prepare cheque runs

Project Tracking

  • Set up project in Replicon at time project is opened
  • Set up project tracking sheet at time project is opened
  • Update Replicon and project tracking sheets as required

Minimum Requirements

  • 2-4 years of accounting experience
  • Excellent interpersonal and communication skills, both written and verbal
  • Solid working knowledge word, excel, power point and general computer skills
  • Working knowledge of time sheet tracking software and quickbooks would be an asset
  • Highly motivated individual who works independently
  • Ability to handle stressful situations in a calm and amicable manner
  • Rigorous attention to detail and accuracy
  • College diploma/certificate in accounting

Intermediate Contract Administrator

We are in search of a Contract Administrator who will work on a variety of projects both in scale and value.  We will look to the candidate for planning, design, communication and organizational skills. The successful candidate will have a passion for thoughtful design and attentive communication. They will work closely with principals and project teams to communicate and respond to construction matters.

Qualifications Include

  • 6+ years experience required
  • Knowledge of Revit and AutoCAD
  • Drivers license
  • Diploma in Architectural Technology or Degree in Architecture
  • CCCA Designation or training associated with achieving this designation would be considered an asset

Duties include

  • Provide construction administration functions to projects on site and within the office including: certificates of payments, preparation of CO’s  CD’s, site meetings, site instructions, field review reports etc.
  • Organize, direct and manage contract administration for projects
  • Implement the project as directed by, or in consultation with the project team
  • Supervise the deliverables associated with projects
  • Work in a collaborative team environment, primarily in construction administration with involvement as required in other aspects of design including pre-tender document review
  • Report to the project architect on a regular basis outlining status of job cost control and scheduling issues including general progress and time management issues.

The Intermediate Mechanical Designer plays an important role in the design team. Our ideal candidate is a team player with the ability to receive and execute instructions from the Senior Engineer or Project Manager with minimal supervision.  The Intermediate Designer will provide guidance and delegate to the junior engineering staff.

Responsibilities

  • Work directly with and support senior personnel; oversee and direct junior members of the production team
  • Prepare contract drawings, schedules, details and sketches from conceptual design, through to tender and construction
  • Ensure CAD Standards, Quality Assurance and Quality Control procedures are followed during drawing planning and production
  • Comprehensive working knowledge of the Ontario Building Code, ASHRAE, NFPA and industry standards
  • Ability to apply prescriptive requirements of mechanical building services engineering codes with minimal supervision provided by senior staff
  • Strong experience in planning and managing projects, preparation of materials, cost/timing estimates, reporting and producing high level schematics/specifications
  • Experience in HVAC, Plumbing, Fire Protection and Medical Gases with institutional, healthcare and civic projects of various size and complexity
  • Work to and meet project timelines; assist in development of and meeting project budgets
  • Co-ordinate project requirements with the all team members
  • Support Construction Administration personnel including field reviews and co-ordination, review and issuance of Change Orders, Clarifications and RFI responses on an occasional or as required basis
  • Co-ordinate project information and work with all internal and/or external disciplines, including but not limited to, architectural, electrical, structural and civil as required

Performance measurement

  • Quality of work meets / exceeds requirements and specifications of the Lead Mechanical Engineer, project architects / engineers and clients
  • Projects are completed on budget and on time
  • Demonstrated ability to work with various levels of people within our firm and within client organizations

Minimum requirements

  • 5 years of experience in the preparation, drafting, and design of engineering drawings using appropriate standards for HVAC, Plumbing, Fire Protection and Medical Gases
  • Possession of a solid understanding of construction protocols and processes and a proven ability to interpret contract documents (drawings and specifications)
  • Well-experienced and knowledgeable with REVIT,  AutoCAD and MS Office
  • Ability to use HAP software load calculation and/or E-Quest for modeling
  • Ability to perform complete and detailed site take-off
  • Strong interpersonal and communication skills, both written and verbal
  • Highly organized and able to prioritize multiple tasks and demonstrate a flexible approach to work assignments
  • Highly motivated individual who works well independently

Role:

Under supervision the Intermediate Technologist, will prepare drawings of existing facilities, and prepare drawings for renovations and new construction of moderate complexity based on verbal instructions, sketches and/or formal documents. This is a collaborative position that requires preparing plans, section details and other drawings for construction, performing inspections of existing facilities to determine and verify existing system and structural details, and utilizing Revit equipment and technology. This role also includes LEED administration support and design visualization support (sketch-up and rendering) with design teams.

This position reports to the Principals and Directors at mcCallumSather.

Responsibilities:

  • Prepare contract drawings, schedules, detail design and sketches from conceptual design, through tender to construction
  • Ensure Revit Standards, quality assurance and quality control procedures are followed during drawing planning and production
  • Work to and meet project time lines
  • Influence, assist in developing and meet project budgets
  • Co-ordination of drawings and project requirements with the design team

Minimum Requirements – Skills/Knowledge/Abilities:

  • Significant knowledge of building science
  • Excellent analytic, report writing and oral communication skills
  • Proficiency in AutoCAD, Revit, SketchUp and MS Office
  • Good working knowledge of BIM standards and general knowledge of Building Codes
  • Ability to work with people in all levels of the organization as well as with customers and vendors
  • Ability to collect field data and accurately record findings

Minimum Requirements – Education/Licencing/Certification :

  • 3+ years of experience
  • College Diploma – Architecture Technician
  • Proof of AutoCAD and Revit experience and capabilities
